How to Send Invoices to Customers on WhatsApp

Published 20 August 2026

If most of your customers are on WhatsApp rather than email, the fastest way to get an invoice in front of them is to send it there directly, either as a shareable link or as an image.

Option 1: Send a link

A shareable link opens the invoice in the browser exactly as you created it — the customer can view it, see the amount and due date, and download a PDF copy if they want one. This is the better option when you want the customer to be able to check the invoice's status later (for example, to see it update to “paid” once you've recorded their payment).

Option 2: Send an image

Exporting the invoice as an image and sending it drops straight into the chat as a photo, which some customers find easier to open than tapping through a link, especially on a slower connection. This works well for a quick, one-off invoice where you don't need the customer to check back on its status.

Doing this in EaseFlow

  1. Create the invoice as usual, with the customer, items, and due date filled in.
  2. Use Share on WhatsApp to send the invoice's link directly into a WhatsApp chat, or
  3. Export the invoice as an image and share it from your phone's share sheet, which includes WhatsApp alongside your other apps.

Either way, there's no need to take a screenshot of a spreadsheet or format anything separately for WhatsApp — both options come straight from the invoice you already created.

A tip for follow-ups

Because the link stays live, you can send the exact same message again as a reminder closer to the due date, rather than creating and sending a whole new invoice. Once payment comes in, record it against the invoice so you can issue a matching receipt from the same place.
